PROGRAM COORDINATOR

Exempt Fulltime

JOB SUMMARY:

The Program Coordinator reports to the CEO and plays a vital role in delivering student scholarships and teacher grants aligned with our mission. This position acts as a liaison for the MEF Education Committee, maintaining a strong focus on attention to detail. It manages the MEF Grant and Scholarship programs in collaboration with necessary teams across the Foundation and MISD.

ESSENTIAL JOB FUNCTIONS:

• Annually open and close MEF Grant and Scholarship Applications.

• Collaborate with the VP of Education to recruit volunteer application reviewers for grants and scholarships.

• Organize and execute the delivery of grants to teachers and schools.

• Verify that donor criteria align with scholarship applicants.

• Coordinate flawlessly executed annual scholarship awards ceremonies involving scholars, donors, parents, and volunteers.

• Maintain high-quality stewardship and manage relationships with scholarship and grant donors.

• Prepare essential materials, including annual grant and scholarship donor kits.

• Coordinate volunteers, staff, and donors for grant deliveries and scholarship ceremonies.

• Interface with the Accounting department to monitor grant and scholarship information, including tracking, forfeitures, and endowment reporting.

• Prepare timely reports for grants and scholarships as requested.

• Ensure compliance with auditing requirements.

• Collaborate with the CEO to establish achievable goals and benchmark success indicators.

• Performs other duties as assigned.

MINIMUM EDUCATION AND EXPERIENCE:

• Associate degree or a combination of relevant experience, education and training that equates to the required degree.

• Two-five years’ experience providing scholarship and grant support within the high school and or college setting.

• Experience working with volunteers.

PREFERRED EDUCATION AND EXPERIENCE:

• Bachelor’s degree, with five or more years of scholarship and grant administration support

• Experience working in a non-profit, development, fundraising setting.

• Strong knowledge of Microsoft Office software required.

• Extensive experience with Excel and Word (mail merge)

• Experience with Jotform

• Experience with Bloomerang

KNOWLEDGE, SKILLS AND ABILITIES:

• Impeccable attention to detail, strong prioritization skills, and the ability to multi-task and change priorities quickly. Must be able to work independently and proactively.

• Skills in analytical reasoning, problem solving, oral and written communication with the ability to exhibit sound judgment in difficult situations.

• High degree of tact and diplomacy, inspiring trust from campus partners, donors, staff and the board. Exemplary skills in customer service and collaboration.

• Excellent judgment, ability to adhere to confidentiality as needed, and strong emotional intelligence to facilitate relationship building with staff, team, donors and community partners.

• Experience leading and managing project deliverables; ensuring that all projects are delivered on- time and within scope and budget.

• Proficiency in composing grammatically accurate written communications.

SUPERVISION EXERCISED:

May supervise volunteers, and or student volunteers within the Foundation office. May also lead project teams.

Environmental Demands:

Frequent evening and weekend work is necessary. Job settings can vary and may include the office, social events, presentations, and both large and small meetings, often involving interactions with individuals in diverse environments.

PHYSICAL REQUIREMENTS:

Work is performed in an office environment with no exposure to hazardous or unpleasant conditions. Physical demands are usually limited to sitting or standing in one location much of the time. Some stooping, lifting or carrying lightweight objects may be required.

This position may handle extremely confidential material and information. Confidentiality is expected at all times.
